Teamox

Features

Everything a shared Outlook mailbox cannot do.

Teamox adds collaboration to Exchange Online: who does what, what is done, what was discussed internally. Plus customer data, AI and snooze, all inside Microsoft Teams.

Screenshots show the German interface. An English interface is on the roadmap.

Assign and resolve

Every email has an owner. Everyone on the team sees who is on it and what is still open. Done means done: the conversation moves to the archive, in Outlook too.

  • Assign with one click, hand over to a colleague with a sentence in the notes
  • Status open or done, visible to the whole team
  • Resolving archives the email in Exchange, Outlook stays in sync
  • Views “Assigned to me” and “Assigned to others” for an overview

In practice: A complaint arrives at info@. Ms Berg assigns it to Mr Kaya. Two hours later it is marked done, everyone sees it, nobody replies twice.

Internal notes with @-mentions

The yellow column next to every email belongs to your team. Whatever is written there, the customer never sees. With @name you pull in a colleague who immediately gets a Teams notification.

  • Notes live in Teamox, never in the email and never in Exchange
  • @-mentions send a notification to the Teams activity feed
  • Also delivered as a real message in the colleague’s 1:1 Teams chat, with a link back to the email
  • The history shows who assigned, replied or resolved, and when

In practice: “@Lena, the delivery date from order 1234 does not work, can you check with shipping?” Lena sees the mention in Teams and answers in the note.

And this is how it arrives in Teams

The mention lands wherever your colleague is right now

Mehmet writes the note in Teamox. Anna receives it twice: as an item in the activity feed and as a regular chat message from Mehmet, with a link back to the email. No extra tool, no forwarding.

The customer at a glance

The contact tab shows who you are dealing with: customer number, contacts, orders from the shop, phone calls from the last 60 days and every email from this customer across all teams.

  • Customer number and all contacts of the company
  • Shop orders with order number, date and amount
  • Phone calls with duration and the colleague who took them, from your phone system
  • All conversations of the customer, including those in other team mailboxes

In practice: A customer asks about his delivery. In the contact tab you see yesterday’s order and this morning’s phone call with a colleague before you reply.

AI that knows the thread

The AI reads the whole thread and your templates before it writes a draft. Long threads get a bullet-point summary. Rules can be phrased in your own words.

  • Reply draft from thread, templates and sender data, with your hint as guidance
  • Summary with open points for long ticket threads
  • Improve, shorten, soften or formalise text
  • Rules with AI conditions: “If the customer asks for an invoice, assign to accounting”

In practice: After twelve emails about a complaint a colleague clicks “Summarise” and sees in five lines what was agreed and what is still missing.

Snooze, overdue reminders and reporting

An email that only matters next week gets snoozed. If a customer email stays unanswered too long, Teamox reminds the team. Reporting shows how things are going.

  • Snooze with date and time, reminder in Teams
  • Overdue reminder after a deadline you set
  • Response times, open emails per team, activity per person
  • Volume per week to spot peak times

In practice: The customer wants an answer on Monday. Snooze until Monday 9 am, the email disappears from the inbox until then and comes back on time.

Who is on it right now

Collision detection shows in the email header when a colleague has the same email open or is already typing a reply. Double replies to customers are a thing of the past.

  • “Jonas is looking at this right now” directly on the conversation
  • “Jonas is typing a reply” before you start yourself
  • Works automatically, in real time, for the whole team

In practice: Two colleagues open the same order enquiry. The second one immediately sees that the first is already typing and takes the next email instead.

WhatsApp in the same inbox

Customers write by email today and by WhatsApp tomorrow. In Teamox both channels land in the same team mailbox: your WhatsApp Business number appears as a channel next to the email addresses, with the same tools.

  • WhatsApp Business number (Meta Cloud API) as a channel on any team
  • Assign, status, internal notes and history work just like for email
  • Reply directly from Teamox, the chat history stays with the team instead of on a phone
  • The contact tab shows emails and chats of the same customer together

In practice: A customer sends a photo of a damaged delivery via WhatsApp. The message sits next to his order email, is assigned to Mr Kaya and answered with a note to the warehouse, without anyone looking for a company phone.
